Connect a Shopify store

Bring products, customers, locations, orders and inventory from Shopify into Biosphere. Each download lands in Inbox, where you map and approve it like any other source.

Connect a store

  1. Open Configure, select Sources, then Shopify.
  2. Select Connect Shopify. When a store is already connected, select Add another store.
  3. On Shopify, choose your store and approve access.
  4. Biosphere brings you back and shows the store with its status, such as “Connected · Automatic syncing on”.

The first time a store connects, Biosphere starts downloading everything it gave access to. A new store starts with automatic syncing on for all of that data.

If connecting fails, Biosphere shows the reason and a reference. Select Back to Shopify and try again.

Choose what stays in sync

Automatic syncing keeps the data you choose up to date. Changes arrive from Shopify as they happen, with regular catch-up and a daily check.

  1. Turn Automatic syncing on or off.
  2. Under Data to keep in sync, turn on each kind of data: Products and variants, Customers, Locations, Orders, Inventory.
  3. Select Save sync settings.

Pausing lets the current sync finish. To turn syncing on, choose at least one kind of data.

If a kind of data shows “Reconnect to grant access”, the store hasn’t given Biosphere access to it. Select Reconnect and approve the extra access on Shopify.

Download data now

Under One-time download:

  • The Sync now button downloads the data chosen under Choose data for Sync now.
  • The Download all available data button downloads everything the store gave access to.

Neither changes your automatic syncing settings. Both are unavailable while a sync is running or while the store needs attention.

Review Shopify data in Inbox

  1. Select Open Inbox on the store.
  2. Each download is one source named after the store and marked shopify. Its pages appear as runs, such as “Run 1 · products · 50 records”. Choose a run from the menu at the top of the review.
  3. The store is already chosen in From, because each store is its own source.
  4. Map the run, review the changes and approve them. Fields keep Shopify’s own names.

Once you save an automatic mapping for a kind of Shopify data, later syncs of it apply on their own when they pass every check. See Map a source.

Check sync history

  1. Open Sync details on the store.
  2. Each sync shows its status (Queued, Syncing, Downloaded, Needs attention or Cancelled), its kind (Changes, Full download or Catch-up scan) and when it started.
  3. Open a sync to see the pages it saved with their record counts. Use the Review page link to open a page in Inbox.

Downloaded means the pages were saved, not that their records were approved.

When some data couldn’t be downloaded, the store shows “Some data could not be downloaded.” Use the Inspect and retry the failed job link to retry it on the Background jobs page. When a sync was cancelled, start a new download to continue.

Check for missing records

Under Sync details, the Check for missing records button scans the store for records Biosphere saw before that Shopify no longer has. Findings are listed for review and never delete anything. See Find records missing from a source.

Disconnect a store

Biosphere has no disconnect button. To disconnect, remove the Biosphere app from the store in your Shopify admin.

The store then shows “Connection needs attention” and stops syncing. Its downloads, approved records and history stay in Biosphere. To connect it again, select Reconnect.

What to know

  • Biosphere only reads from Shopify. It never changes your store, charges payments or fulfills orders.
  • How much order history you get depends on the access Shopify grants.
  • A download reads the store while it may be changing, so it isn’t a picture of one exact moment.
  • Each store runs one sync at a time.
  • A sample connection is labeled “Sample connection” and can’t download data. Select Connect Shopify to connect a real store.
