Link delivery items to orders

Link a delivery item to the sales and purchase quantities it represents. A schedule alone does not establish a sale or a cost, and similar names or tracking numbers never create these links automatically.

Review commercial allocations

  1. Open the delivery item and find Commercial lines.
  2. Select Link lines. Choose Line type, then Commercial line.
  3. Enter Allocated quantity and Unit, then select Add allocation. Repeat for each sales or purchase line this item represents.
  4. Select Review allocations and check the complete replacement list.
  5. Enter a Reason, then select Save reviewed allocations.

Units must match the commercial line. Allocations cannot exceed its ordered quantity across delivery items. Unknown quantities or ambiguous links need review; Biosphere does not infer a conversion between units.

Open Link lines, use Remove allocation on an incorrect entry, and add its replacement if needed. Review and save the complete list again. Removing every entry clears the links while retaining their history. If another edit makes the review stale, reopen the current allocations and review again before saving.

Understand the effect

Purchase links establish the cost coverage for non-stock delivery work; sales links establish its revenue coverage. Project reporting uses explicit delivery allocations before inherited line or order membership, and counts the remaining quantity once. Missing coverage leaves dependent figures incomplete.

Linking a package that already has a warehouse count does not change stock. Staff use Receive on the purchase line to post stock separately; the package count remains arrival history.

Saving allocations does not fulfill an order, charge money or change the delivery item’s Project. Sales and purchase line details show linked Delivery items above Shipments. Commercial links are private business details and are excluded from client and Warehouse views.
