Track delivery items

Use Delivery items for a schedule that exists before an order has prices or complete purchasing details. Each item can keep a description, area, vendor, supplier reference, quantity and unit, date windows, reported status and notes.

Add an item

  1. Open Projects, then Delivery items and use New delivery item.
  2. Enter a Description. Add the location and vendor details you know.
  3. Leave Ordered quantity empty if it is unknown. If you enter a quantity, enter its Unit too. Quantities support up to nine decimal places.
  4. Enter full dates, including their year. Each window’s end must be on or after its start.
  5. Choose the Reported status and use Create.

A carrier report or a Reported status change does not receive stock, fulfill an order or take a payment. Package counts record the actual arrival.

Organize and update an item

Open the item and select a property to change it. Leave the field to save; a brief Saved check confirms the change. Escape cancels an unsaved edit. Client notes and internal notes have separate fields. Use the Project property or Shift+P to assign one project immediately. Use Add tag or L for ordinary labels. Use the ordinary image gallery to attach pictures.

Search the collection by description, reference, area, location, vendor or supplier reference. Use Filter to narrow it by Project, tags or reported status. Open Activity to see recorded changes and their source evidence.

If someone changes the item while your editor is open, your draft stays in the form. Saving waits until you review the newer record. Select Load latest record to compare the saved values while keeping your draft. Choose Use my change to apply your reviewed draft or Keep theirs to discard it. A save that finds a newer edit also keeps your draft. Fields and dismissal stay locked while a save is in progress.

Import a schedule

Upload a CSV and choose Delivery items as its record type when mapping. Choose a stable source line ID to identify each item. Descriptions, row positions and tracking numbers can change; they are not stable line IDs. Map quantities and units together, review the proposed changes, then approve. A repeated source row uses its existing item and keeps the original evidence.

Review source ownership

Open Sources and updates to compare field sources, pin a value, follow a reviewed source, pause changes or inspect decision history. Shipment and package editors also offer Review field sources. See Review and control source updates.

Older snapshots preserve current Project membership and source images. Classification problems remain visible without blocking independent valid fields. Use Choose import source in the tag editor for Project source choices; invalid Project references need correction before adoption.

Use Commercial lines, then Link lines to allocate this delivery item’s quantities to sales and purchase lines. Sales and purchase line details also show their linked Delivery items above Shipments, with links back to the item. See Link delivery items to orders.

Record shipments and packages

Open an item’s Shipment journey and select Record shipment. On a sales or purchase order, select Shipments beside the applicable line. Name the journey leg, choose inbound, onward or outbound, and add the origin, destination and tracking references you know. Quantities may remain unknown.

Use Add package for each known parcel. Enter a label and, when known, the quantity and unit of this item in that parcel. For a parcel continuing on another leg, choose Existing package on another leg and select its record. Matching labels or tracking numbers do not identify parcels automatically.

Use Edit shipment, Edit quantity, Edit package or Edit contents for later corrections. The physical date and quantity of a stock dispatch stay with sales fulfillment. Changing an existing quantity’s unit clears that quantity so you can enter it again for the new unit or leave it unknown.

Confirm warehouse or final-site counts

Select Confirm count on a package. Choose Warehouse or Final site, enter the received date, and enter the Cumulative received quantity: the total counted so far for this item in this package. Include damaged items in the total and enter their quantity separately. For example, receiving two more after a count of three means entering five, not two.

A lower count requires a Correction reason. Earlier counts remain in Activity. If another person confirms a count while your draft is open, review Load latest record before submitting a new count. A connection error keeps the entered count so you can retry the same request safely.

Warehouse confirmation does not confirm final-site receipt. A carrier report is shown separately from these business confirmations. Neither warehouse nor final-site counts change stock. Staff use Receive on the purchase order for stock receipts; see Receive stock from a purchase order. Warehouse invitees can count arrivals and add receiving photos within their Project; see Receive Project packages.

Purchase receiving

Purchasing contains Purchase orders, To receive and Received. Expected packages and their latest counts appear read-only in To receive. Receive always opens the ordinary purchase receipt form, with the remaining quantity filled in. Received lists stock receipt movements, newest first. Saving a commercial link never changes stock or opens a receipt form.
