Organize work with Projects

A Project groups related work across your business. It keeps a name, site address, installation window, status and internal notes. Money stays on the Project’s orders and costs, each in its own currency.

Create a Project

  1. Open Projects, then select New project.
  2. Enter its Name. Add a Project reference if your team uses one.
  3. Choose the Status and enter the site address and installation dates you know.
  4. Select Create project, or press Cmd/Ctrl+Enter. Use More fields for optional site details.

You can also create a Project from a record’s Project picker. Search for its name and use Create to open the same editor. If another person has already created that name, select Select existing to choose their Project.

Connect records

Open a delivery item, order, contact, catalog item or inventory item. Select the separate Project property, or press Shift+P outside an editor. Choose a project to apply it immediately; Saved confirms persistence. Delivery items, orders and lines accept one project; contacts, catalog and inventory can have several. Ordinary tags and their parents never establish project membership.

Use Project sources beside the selection to compare imported memberships. Reviewing and saving a source choice changes which Project client view includes the record. The preview names that change. Staff edits pin the selection; another source cannot change it just by reporting a larger revision.

Creating a project from the picker saves it, then assigns its relationship. Cancelling the creation composer leaves the current selection unchanged.

Change a Project

Open it from Projects or select its name on a related record. Click a property to edit it. Text saves when you leave the field; choosing a status saves the selection. A loading mark inside the control means the save is still running; a brief Saved check confirms it finished, including when saving is fast. Press Escape to cancel an unsaved field; Enter saves a single-line value. In Internal notes, Enter adds a line and Ctrl+Enter or ⌘+Enter saves.

Installation start and end edit together.

A failed save keeps your entered value and offers a retry. If another edit arrived, use Load latest record to compare the saved values while keeping your draft. Choose Use my change to save your draft against that reviewed revision, or Keep theirs to discard it. Leaving the page with unsaved changes asks before discarding them.

Renaming a Project updates its name wherever it is selected. Changing tags does not change an order’s quantities, payments or stock.

The Project status is a team decision. Receiving stock does not automatically mark the Project complete.

Select the Status cell in the Projects table to change it without opening the project. The table and sidebar use the same status icons and choices.

Business owners can select Edit status names in Projects to rename the choices for everyone in the business. Names change in tables, properties and filters. The stored status values stay fixed, so renaming does not change assignments or report filters. Custom names keep exactly the words you enter in every language.

Share progress with a customer

Select View as client to inspect the customer layout without sending anything. Use Invite to live view to review the associated customer, exact email and access period before sending. If several customers belong to the Project, choose the intended recipient. The live view excludes prices and internal notes. Revoking access also blocks an already signed-in customer on their next check.

Work through a Project

Use Areas for delivery lines, Orders for commercial records, Needs decision for held source changes and unmatched packages, Clients for associated contacts, and Shares for current invitations. Select the actual lines before Record shipment; each package asks which lines it contains. Unknown quantities stay unknown.

Open Project financials to review USD amounts at saved transaction-date rates, then open a contributor to inspect its order or cost. An unknown cost or mixed Project payment leaves the result incomplete. Record an additional cost with a reason; correcting or voiding it keeps the earlier entry in history.

Shares shows Client or Warehouse audience, view sessions, last viewed and expiry. Polling does not add view sessions. Use Revoke access to end an invitation.

Read the project workspace

The list shows status, delivery progress, installation range and Updated. Add optional columns for reference, decisions and financial commitments. Financial columns require Purchasing access and use the business reporting currency.

Open a project to edit its title, notes and right-side properties in place. Overview shows images and Activity; the work tabs show areas, orders, decisions, clients and shares. Progress counts delivery lines received in full. Financials links to lifetime commitments; period profit remains in Financials reporting. Costs keep their reviewed Record cost action.
