Fulfill sales orders

Fulfill a confirmed sales line when its goods ship. Fulfilling takes the stock off the shelf at the line’s location and releases the same amount of committed stock. You can ship a line in several parts.

Fulfill a line

  1. Open Sales orders and open the confirmed order.
  2. On the line, select Fulfill.
  3. Enter the Quantity in the line’s selling unit. The dialog shows the most you can ship, such as “Up to 2 pack, committed at Sampleton Warehouse.”
  4. Enter a Reason of at least three characters, such as “Shipped with tracking number TRK-4471”.
  5. Select Post fulfillment.

The line’s Fulfilled quantity goes up and its Committed quantity goes down. When nothing is left committed on any line, the order’s status becomes closed.

Ship part of a line

Enter less than the committed quantity. The rest stays committed, and Fulfill stays on the line until it is all shipped or cancelled. For example, ship 1 of 2 six-packs today and the other next week.

Cancel what won’t ship

  1. Open the order and select Cancel remainder.
  2. Enter a Reason, then select Cancel remainder in the dialog.

Every line’s unshipped quantity is cancelled, its committed stock is released, and the order’s status becomes closed. What already shipped stays in the history. To keep part of the order open, fulfill the parts you will ship first.

Fix a fulfillment that is refused

  • That is more than is committed to this line. Enter up to the committed quantity. To ship more, put the extra on a new sales order.
  • This location has insufficient physical stock for the change. The shelf holds less than you’re shipping, for example after a count found a shortage. Ship what is there, count or receive more stock, or cancel the remainder.
  • A refusal about the selling increment means the quantity must be a whole multiple of the smallest selling increment the line was confirmed with, such as 1 or 2 but not 1.5.

What to know

  • Only lines of a confirmed, open order can be fulfilled, and only from the location chosen when the order was confirmed.
  • A fulfillment can’t be undone or corrected. If goods come back, adjust the stock at that location with a reason; the order still shows them as fulfilled.
  • Fulfillment uses the stock source the order was confirmed with, even if the SKU’s stock source changed since.
  • Each fulfillment appears in the order’s Activity and in the inventory item’s Activity at that location.
