Inventory
Count stock
Record a physical count when you count what is on the shelf. The count sets the on-hand quantity of one inventory item at one location as of the moment you preview it; later movements add to it or take from it.
Record a count
- Open Inventory, then select Levels.
- Select New count.
- In Count inventory item, choose what you counted.
- In Count location, choose where you counted it.
- In Count quantity, enter what you counted in the item’s base unit, such as 30. Enter 0 if the shelf is empty.
- Select Preview impact.
- Check the preview: the current quantity, the result, how many later movements it affects, and the time it takes effect.
- Enter a Count reason of at least three characters, such as “Monthly shelf count”.
- Select Post count.
To change the item, location or quantity after previewing, edit the field and preview again, or select Reset count preview.
For example, counting 30 each of Jade coaster at Sampleton Warehouse, where 28 each were on hand, previews “Current: 28 · Result: 30”.
Count stock that has never been counted
The first count of an item at a location creates its inventory level, unless confirming a purchase order already created it with Unknown on hand. Either way, the preview shows the current quantity as unknown. Until the item is counted there, sales can’t commit its stock and recipes can’t use it.
If you need to count an item that doesn’t exist yet, type its name in Count inventory item; when nothing matches, the list offers to create it.
Count less than is committed
A count records what is really there, even when it is less than confirmed sales have committed. The preview warns you first, for example “Shortage after this count: 2 each (6 committed). New sales stay blocked until stock covers them.”
After posting, the level shows the Shortage. A sales line can still be fulfilled while the shelf covers it. Receive or count more stock, or cancel what can’t be shipped.
What to know
- A count takes effect at the moment you preview it, not when you post it. Counts can’t be dated in the past on screen.
- Quantities can have up to nine decimal places and can’t be negative.
- A posted count can’t be deleted. To fix a mistake, correct it from the level’s Activity; see Adjust or correct stock.
- A count never changes what sales orders have committed.
- To count from a recipe run that needs it, select Record count beside the input; see Make stock with a recipe.
