Inventory
Manage inventory items
An inventory item is a physical thing you count and move, such as Jade coaster counted in each. A catalog item is what you sell or buy. Each SKU’s stock source points to the inventory item it uses, so a single and a six-pack can draw on the same Jade coaster stock.
Create an inventory item
- Open Inventory, then select Inventory items.
- Select New inventory item.
- Enter the Stock item name, such as Jade coaster.
- Enter the Base unit, the unit you count and move it in, such as each, pack or kg.
- Select Create stock item.
Biosphere gives the item a reference from its name. You can also create an inventory item from any inventory item field, such as Count inventory item or Physical stock item: type the name and, when nothing matches, choose the offer to create it.
Rename an inventory item or change its unit
- Open the item from Inventory items.
- Select Edit.
- Change the Stock item name or Base unit, then select Save item.
See where an item is stocked
Open the item from Inventory items. Locations lists each location where it has an inventory level, with what is on hand and available there. Select a location to open that level inside the item; the back control returns to the item.
The item’s Activity lists its changes and every count, adjustment, receipt, fulfillment and recipe run at all its locations.
Fix a duplicate inventory item name
Inventory item names are unique in your business, ignoring capital letters and spaces at either end. They are separate from catalog item names, so Jade coaster can be both. If another inventory item has the name, the editor says so beside the name: Open existing takes you to it, or, when you were choosing an item in a field, Select existing chooses it instead.
What to know
- The base unit is fixed once the item has an inventory level at any location, or a SKU stock source or recipe uses it. To use a different unit, create a new inventory item.
- Base units are lowercase, start with a letter and can be up to 32 characters, such as each or case_12.
- Names can be up to 300 characters.
- Inventory items can’t be deleted.
- A sealed pack you count separately from singles is its own inventory item, such as Sealed jade six-pack in pack. See Set a SKU’s stock source.
