Check inventory levels

An inventory level is the stock of one inventory item at one location, such as Jade coaster at Sampleton Warehouse. Levels lists every one with what is on hand, committed to sales and available to sell.

See stock at each location

  1. Open Inventory, then select Levels.
  2. Read each row: the inventory item, its Location, On-hand, Committed, Available and Shortage, and how many SKUs draw from it.
  3. Select a row to open the level beside the list.

Quantities are in the inventory item’s base unit, such as 30 each. Unknown means the level has never been counted; it is never treated as zero. The list loads 100 levels at a time, and Load more levels shows the next set. Narrower windows hide the less important columns first.

For example, Jade coaster at Sampleton Warehouse might show 30 each on hand, 6 each committed and 24 each available.

Open one inventory level

An open level shows:

  • its inventory item and location, each a link;
  • On-hand, Committed, Available and Shortage;
  • SKU capacity: for each SKU that uses this stock, how many selling units the physical stock covers and how many are still available to sell;
  • its Activity: counts, adjustments, corrections, receipts, fulfillments and recipe runs at this location, newest first.

From here you can adjust the stock (once it has been counted) or correct a count or adjustment from its Activity entry. See Adjust or correct stock.

Start a new inventory level

A level appears the first time stock is counted for an item at a location. Use New count on Levels; see Count stock. Confirming a purchase order to a new destination also creates its level, with Unknown on hand until the first count or receipt.

Refresh what you see

Select Refresh stock to read the latest balances, for example after a colleague posts a receipt.

What to know

  • Incoming purchase stock doesn’t show on Levels. Each confirmed purchase order shows its Incoming quantity; see Manage purchase orders.
  • Available can go below zero when a count finds less stock than is committed; Shortage then shows the gap.
  • To add or rename locations, open Locations.
  • For totals by product, location or category, see Read the stock summary.
