Receive stock from a purchase order
Receive a confirmed purchase line when its goods arrive. The receipt adds the stock to the line’s destination and reduces what is still incoming. You can receive a line in several deliveries.
Receive a delivery
- Open Purchase orders and open the confirmed order.
- On the line, select Receive.
- Enter the quantity that arrived in the line’s selling unit, such as 1 case. The dialog shows how much is left to receive and where it goes.
- Enter a Receipt reason of at least three characters, such as “Delivery note DN-5523”.
- Select Post receipt.
The line’s Received quantity goes up and its Remaining goes down. Stock rises by what the SKU’s stock source says one selling unit holds, such as 12 each per case. When every line is fully received or cancelled, the order’s status becomes closed.
Receive into stock that has never been counted
If the item has never been counted at the destination, the dialog asks for an Opening physical count first:
- Count what was on the shelf before this delivery, in the item’s base unit. Enter 0 if it was empty.
- Enter it in the opening quantity field, with an Opening count reason, such as “Empty shelf before first delivery”.
- Finish the receipt as usual.
Biosphere records the count and then the receipt together.
Receive part of a line
Enter less than the remaining quantity. The rest stays incoming and Receive stays on the line. For example, receive 1 of 2 cases now and the second when it arrives.
What to know
- You can’t receive more than a line has left. For extra goods, create a new purchase order, or adjust the stock with a reason.
- The quantity must be a whole multiple of the SKU’s smallest selling increment.
- A receipt can’t be undone or corrected. To take stock back out, adjust it at that location with a reason; the order still shows the quantity as received.
- Goods are received only into the destination chosen when the order was confirmed.
- To stop expecting the rest of an order, cancel its remainder; see Create and confirm purchase orders.
