Record a payment received
Record money a customer paid outside Checkout: a bank transfer, a check, cash or a card terminal. Nothing is charged or sent.
Record a payment
- Open the sales order and review its total first. A payment is recorded against the reviewed amount.
- Under Payments received, select Record payment.
- Choose the method, enter the amount and the date it was received, and add a reference such as a check or transfer number.
- Enter a reason and select Record payment.
The order shows what is paid and what is still unpaid. A payment can never be more than the unpaid balance.
Correct or void a payment
Entries are never edited. Select Void to cancel an entry made in error; its reversal cancels the receipt in that day’s cash totals. Select Correct to replace the amount, method or date; the original and its reversal stay in history. Neither one refunds the customer.
What to know
- Checkout is unavailable while a recorded payment stands, so the order is not collected twice. Void the recorded payment first if the customer will pay by Checkout instead.
- Recorded payments count as cash received in Financials on the day they were received.
