Review exchange rates for USD reporting

Biosphere reports in USD. Purchases, sales and payments keep their original amount and currency. A saved exchange rate translates a transaction for reports; it never changes what Checkout charges or what a refund returns.

Save an order’s exchange rate

  1. Open the sales or purchase order and find USD reporting. This section appears for foreign-currency orders.
  2. Select Set exchange rate. Check the transaction date shown in the editor.
  3. Enter USD per one unit of the original currency. For example, 1 CAD = 0.75 USD uses a rate of 0.75.
  4. Enter Rate source and Reason, then select Save rate.

Use the rate for the order date. If no order date was supplied, the order’s creation date is used. Rates are entered manually; Biosphere does not fetch a current or historical market quote. Changing an order’s date or currency makes its previous rate stale until you review the new context.

Review a unit cost or another Project cost

On an inventory item’s recorded foreign unit cost, use Review rate. For an additional Project cost, open Other costs and use Review rate on that entry. Use the unit cost’s effective date or the Project cost’s incurred date, as shown in the editor. A USD transaction needs no exchange rate.

Correct a saved rate

Select Review rate on an order, or reopen the cost’s rate. Enter the corrected rate, source and reason, then save. Rate history retains the earlier decisions on the order. If the transaction changed while you reviewed it, reopen the current rate before trying again.

A correction changes live operational reports. An issued financial report keeps its saved figures and can show Records changed since. A rate saved for a new purchase never revalues an earlier purchase automatically.

Fix incomplete figures

Missing or stale rates leave dependent costs, revenue, payment totals and margins incomplete. Follow the contributing record and save its rate; a missing rate never means zero. Purchase costs use purchase-date rates, and sales and payment summaries use their order’s sales-date rate.

What to know

  • Configure → General shows Reporting currency. It is USD in this release and cannot be changed there.
  • You need permission to edit the underlying order or cost to save its rate. Scout can explain the saved decision; a person records or corrects it.
  • These are operational reports. Bank fees, actual settlement conversion, exchange gains or losses, and closed accounting periods are not recorded here.
